How to Create Complex Workflows Like Zapier on a Budget
Are you tired of spending too much on Zapier? I will not be surprised if you are. Zapier is good at linking apps, automating workflows and saving time; but these tasks cost a lot of money. If you are a heavy user, your costs can rise fast using Zapier. I bet you wish you had an alternative to Zapier that has almost same features but costs way less and comes with no limits.
After exploring various tools and technologies, I have found something that might be considered a Zapier alternative. The tool is called Bit Flows. It is an AI-driven tool for automating workflows, much like Zapier. It helps you connect your apps and automate your tasks. The interesting part is, you pay once for it and can continue using it as much as you like. There are no monthly fee to pay or limits.
Today I will create a few complex workflows using Bit Flows to help you understand why I am comparing it to Zapier and how this can be an affordable alternative to your most favorite automation tool. I’ll discuss what the tool does, how much it costs, and what can you expect from it.
Why Do People Love Zapier?
Zapier helps you connect thousands of apps and automate your daily tasks by reducing operational expenses, human engagement and saving your precious time. You can create simple flows, called “Zaps” such as receiving a response from one of your contact forms directly on Slack. Similarly storing your contact form responses in a Google Sheets file automatically. All these can be done on Zapier with a few clicks only.
People love Zapier because it is very easy to use. The tool is easy to navigate, workflows can be created with simple and guided templates or from scratch. Basically, it saves a hell lot of times for small businesses, startups and growth focused companies.
However, there’s no tool that is perfect in every way. Zapier also has it’s drawbacks and that brings many users especially the ones who operate on a tight budget on the internet searching for affordable alternatives to Zapier.
Why People Are Looking for a Zapier Alternative?
The biggest drawback of Zapier is of course it’s costs. It charges you for each task; each email sent or row added counts as one task. Even on it’s cheapest plan, you only get 750 tasks each month for about $20. If you need to do more, you must pay more.
If you want better features, you need a higher-priced plan. Also, you must depend on Zapier’s servers and can never host it on your own server. When you stop paying, your automations stop too. Overall it can be underwhelming for users who has budget constraints, privacy concern or loves to maintain everything self-hosted.
This is why we are going to explain what our aforementioned tool can do to replicate a similar outcome without breaking your bank account. Let’s get to know Bit Flows first.
What Is Bit Flows?
Simply put, Bit Flows is an automation tool that costs less than Zapier and you can run it on your own WordPress website. You can connect it to popular tools like Slack, Google Sheets, WooCommerce, Mailchimp, Shopify, and many more. You can also link to almost any service by adding a simple connection; no-coding required.
The most exciting thing? There are no boundaries. You can create as many flows as you want. You can run as many tasks as you need. There are no extra charges. Isn’t it exciting?
Zapier vs Bit Flows: Major Differences
Here are the major differences I noticed while going through the two tools. If I have made any mistakes or you find any discrepancies, please do not hesitate to comment below or reach out via our contact us page.
| Comparison Factor | Zapier | Bit Flows |
|---|---|---|
| Task Limits | You have to pay for every task. There is a monthly limit. More use means higher fee. | No limits. You can run as many tasks and flows as you want for a flat fee. |
| Pricing | Monthly or annual fee. The cheapest plan is about $20 per month. Higher plans cost more. | One-time and annual pricing plans. Starting from $119 a year or $199 for a lifetime license. No conditions, no caps. |
| App Connections | Works with over 8,000 apps. Most apps are ready to use. | Works with over 200 apps now, more to be added soon. Supports custom apps and APIs for additional connectivity. |
| Data and Control | Data flows through Zapier’s servers. | Data stays on your own website. You own both the flows and data. |
| Extra Features | Some smart tools, like failed alert notifications, are included in higher plans. | Use features like ChatGPT, Gemini, and more to answer messages, write text, and work with data in your flows. |
Overall, Bit Flows is affordable, has limitation on connectivity that they are working on and allows you to be in control.
How Bit Flows Can Replace Zapier: Here are Some Use Cases
Let’s look at a few ways we use Zapier and how Bit Flows can do the same.
Leads Nurturing and Email Marketing: When someone fills out a form, add them to a contact list and send them a welcome email. You can send the details to Google Sheets and deliver the message to Slack simultaneously.

Orders Management: When you get a new order on WooCommerce or Shopify, update your stock, send emails, and message your team automatically. Here’s the flow that does the part.

Social Media Automation: When you publish a blog post, it will be shared it to your social media channels and statuses will be updated on a spreadsheet. You can even get a post summary written using AI tools like ChatGPT or Gemini while sharing.

Support Automation: If someone sends a support request, Bit Flows will check the message and route it to the right team member.

What Makes Bit Flows Special?
- Visual Canvas Builder: You can drag and drop tools and connect nodes to build your workflows. You see everything in one place.
- Multiple Tools: Split your flow (Router), repeat actions (Repeater), check things before moving on (Conditions), and wait between steps (Delay). You can move data and change it as needed.
- Smart Features: You can use AI tools to write, check, analyze, and sort information.
- Error Alerts: It tells you if something goes wrong, retries or sends you an alert.
How Much Does it Cost: Real Life Calculation
Suppose you need to process 2,000 automated tasks per month. Here’s the cost you need to pay to get them done on both the tools.
Zapier:
- $49/month for a bigger plan (about $588/year)
- More tasks mean more money.
- First year may cost $650 or more.
Bit Flows:
- $199 one-time payment
- No extra cost, no matter how much you do.
In just two years, you could save over $1,000 by using this Zapier alternative.
How to Create Workflows Like Zapier in Bit Flows
As this is an WordPress plugin, you need to setup the environment on your WordPress website or localhost to get started creating your workflow automation unlike Zapier that only requires a signing in.
Step 1: Install the Plugin
Navigate to your WordPress dashboard> Plugins> Add Plugin and search it by name. Once you find the plugin, install and then activate it.

Step 2: Create Your First Flow
From the left sidebar on your WordPress dashboard, find Bit Flows and click to open the main dashboard. Click on the Create Flow to create your first flow.

You can pick a template or start with a blank one. Give your workflow a name. And then click on the Create button.

Then you will find the visual canvas builder. On the builder, you will see all the apps, tools, and other functionalities to build complex workflows like Zapier.

Step 3: Choose a Trigger
Choose the app you want to automate and pick what event will start your automation. This could be a new form entry, an order, or another action. I am picking the WooCommerce trigger and “On New Order Create” as the event. You can choose whatever event you need.

Then we need to click the Listen Response button and place a test order to get the order details. This test will get all the required data that you need to map for the next step of automation.

Step 4: Add Actions & Tools
Decide what you want to happen next. For example, send an email or update a sheet. You can add and connect extra apps here if you need. Also, you can use options like Router to split flows, Condition for if/then logic, or Delay to wait between steps.
I will send the order details to Google Sheets & Brevo. For this, I will use the router tool to branch the path and the Iterator tool to send multiple product data. This means if the customer purchases multiple products, the order details will go to the Google Sheet, and the customer’s email will be added to Brevo.
To include any tools, simply drag the tool and drop it into your workflow. And then configure it with your steps. Here, I have added the iterator (to send multiple product data) and router (to create two branches).

And now I need to add Google Sheets (Add Row event) and Brevo as the actions. Just click on the plus sign and select the preferred app.

You need to configure the actions with your credentials. And then need to map the field with the platform. For example, here I have mapped the Google Sheets column with WooCommerce fields. These will send the order details to the respective Google Sheets row.

Similarly, you need to connect Brevo and map the email field so that every new email will be added to Brevo.

You can add more actions and tools like condition, iterator, delay, JSON parser, and more if needed. There is no limit on steps or tasks, add as many as you need.
Step 5: Do a Test Run
After completing the flow configuration, run a test. The tool will show you each step so you can check if everything works in the Logs. If the test looks good, you are ready to go. It will now automatically respond whenever the trigger event occurs.
You have done creating your first workflow. Follow the same steps discussed above to automate more tasks quickly. I found Bit Flows beginner-friendly meaning even if you have very little experience with tools like Zapier, you can get around to it easily. To create more complex workflows, follow it’s user guides.

If you need a tool that connects to thousands of apps, Zapier is your go-to solution. But most uses do not use 8,000 apps. You only need the apps that you use on a regular basis to automate your business operation.
Use Bit Flows…

- If you dislike usage limits or massive fees.
- If you care about privacy and owning your own data.

Final Thoughts
Automation helps you save time and avoid boring, repetitive tasks. Zapier is widely accepted for doing that but it can cost a lot if you are a heavy user. On the other hand, Bit Flows gives you a limitation in options but most of the features you get on it are similar to Zapier. For a one-time price, you can save a lot while getting all the basic tasks done.
In my opinion, Bit Flows is a smart tool for automating tasks and keeping control of expenses. It is affordable, keeps you in control, works well in the WordPress environment and easy to learn. Give it a try and let me know your thoughts.
